By engaging KaizenLoop for any services, you agree to the following terms and conditions:

Service Scope – Services are provided based on agreed scope at onboarding. Additional custom requests may incur extra charges.

Delivery Timeframes – Timeframes for project milestones will be communicated and mutually agreed. Delays caused by lack of client input may affect delivery.

Client Responsibilities – Clients must provide timely access to platforms, content, and approvals necessary for service delivery.

Confidentiality – All client data and business information will be treated as confidential and not shared without permission.

Intellectual Property – Clients retain ownership of their business data, brand assets, and content. KaizenLoop retains ownership of proprietary automation templates and systems unless otherwise agreed.

Payment Terms – Payment terms will be agreed in writing. Monthly packages require payment in advance.

Revisions & Support – Each service includes a specified level of revisions or support. Additional revisions may be billed separately.

Cancellations & Refunds – Monthly services may be cancelled with 14 days' notice before the next billing cycle. Setup fees are non-refundable once work has commenced.

Limitation of Liability – KaizenLoop is not liable for indirect or consequential losses arising from automation, third-party tools, or client-side changes.

Modifications – These terms may be updated occasionally. Any material changes will be communicated to existing clients.

Limited Data Use
We only collect and process the minimum data required to build and operate your automation, AI, or analytics systems. This includes workflows, user inputs, and usage data relevant to your setup. -
Third-Party Tools & Integrations
When using platforms such as Make.com, Xero, Monday.com, or AI APIs, we ensure that your data is handled in accordance with each platform’s privacy policies. We will always inform you of the tools being integrated and the data they may access. -
Client Ownership
You retain full ownership of your data, workflows, and system access. Upon request, we can provide a copy of your setup or delete any stored data from our systems. -
GDPR & NZ Privacy Act Compliance
KaizenLoop complies with New Zealand’s Privacy Act 2020 and aligns with international standards such as GDPR where applicable.
